AI CRM Copilot

Overview

The AI CRM Copilot lets you operate your entire CRM in plain English instead of clicking through forms. You describe what you want — “show my open deals”, “create an estimate for Acme”, “record a 5,000 payment on invoice INV-0007”, “send Priya the estimate” — and the copilot understands it, finds the right records, and performs the action, asking you to confirm before it changes anything. Every step it takes is written to an audit log.

You reach it two ways: from the sidebar under AI CRM (a full chat screen on the dashboard), and by texting your workspace's own WhatsApp number from a registered manager/admin mobile. Both use the same brain and the same safety rules, so a manager can run the business from their phone without opening a laptop.

Think of it as a teammate who knows your whole CRM: it can look things up, create and update records, move deals through stages, build and send quotes and invoices, record money, manage tasks and projects, and answer reporting questions like “what's my revenue this month?” — all from one conversation box.

Requirements & Access

Before the copilot can run, three things need to be in place:

An AI provider keyThe copilot uses a language model to understand you. Add an OpenAI, Anthropic or Gemini key in your workspace AI settings (or the platform key, if your admin provides one). Without a working key, the copilot replies that AI isn't configured. See Bring Your Own Key.
The right roleAny workspace member can use the dashboard copilot for their own data. The WhatsApp channel (commanding it by text) is limited to managers and admins, and only from a phone number registered to that user.

The copilot only ever sees and touches the current workspace's data. Switching workspaces switches the copilot's scope with you; it can never read another workspace's records.

What It Can Do — the Full Tool Set

The copilot works through a catalog of built-in tools. When you type a request, it picks the right tool (or several in sequence) and fills in the details from your sentence. You don't need to know the tool names — you just describe the outcome. Here is the full range, grouped by area:

Because the copilot can chain tools, a single sentence can do several things: “create an estimate for Priya for 2 hours consulting at 80 and send it” will build the quote and send the link — pausing once to confirm before it sends.

How a Turn Works

Every message you send follows the same four steps, so the behaviour is predictable:

  1. Understand. The copilot reads your message (plus the recent chat for context) and decides what you want and which tool(s) fit.
  2. Look up. For anything that references a record — “the Acme deal”, “Priya”, “invoice INV-0007” — it searches your workspace and identifies the exact record. If a name is ambiguous (two Priyas), it asks you which one.
  3. Confirm (only for changes). If the action reads data, it just answers. If the action changes data — create, update, send, record a payment — it summarises exactly what it's about to do and waits for you to reply yes (or no to cancel). See Confirm-Before-Act.
  4. Execute & log. On your yes, it performs the action, tells you the result (with the record's number/link), and writes an entry to the Recent AI actions audit panel.
Context resets cleanly. Use New chat whenever you switch tasks. It clears the running context so an earlier “Acme” doesn't bleed into your next, unrelated request.

Using It on the Dashboard

Open AI CRM from the sidebar. On a fresh chat you'll see grouped example prompts — Look things up, Create & do, Money & reports, Send & summarise — so you can see the range at a glance. Tap any example to drop it into the box, then edit and send. Step by step:

  1. Type a request in plain language and press Enter (Shift+Enter for a new line). The composer grows as you type.
  2. Read the reply. For a lookup, the copilot lists what it found. For a change, it shows a confirmation summary.
  3. Confirm or cancel. Reply yes to proceed or no to drop it. You can also just type a new instruction to change course.
  4. Check the audit panel. The right-hand Recent AI actions list shows each tool that ran and a one-line summary of the result.
  5. Start fresh when you switch tasks with the New chat button.

The quick-reply chips above the composer (“Show my open deals”, “Revenue report this month”, “List my tasks”, “What's outstanding?”) are always available as one-tap shortcuts.

Worked Examples

Three end-to-end examples showing exactly what the copilot says and does.

Example 1 — Create and send an estimate

  1. You type: “Create an estimate for Priya: 2 hours consulting at 80, then send it.”
  2. The copilot finds the contact Priya Sharma, builds a quote with one line (2 × 80 = 160) and replies: “I'll create Estimate for Priya Sharma — 2h consulting @ 80 = 160, and send her the accept link. Confirm?”
  3. You reply yes.
  4. It creates the estimate, sends Priya the public link, and replies: “Done. Estimate #14 created and sent to Priya. She can accept or decline it from the link.” Two audit entries appear (create estimate, send estimate).

Example 2 — Record a payment

  1. You type: “Record a payment of 5000 for invoice INV-0007.”
  2. The copilot looks up INV-0007 (total 5,000, unpaid) and replies: “Record a payment of 5,000 against INV-0007? That settles it in full and marks it Paid.”
  3. You reply yes. It writes the payment, flips the invoice to Paid, and confirms the new outstanding balance for that customer.

Example 3 — A reporting question

  1. You type: “What's my revenue this month, and what's still outstanding?”
  2. Because this only reads data, there's no confirmation. The copilot replies with the month's collected revenue and the total outstanding (optionally with an aging split), pulled live from your payments and invoices.

Commanding It Over WhatsApp

Managers and admins can run the CRM without opening the dashboard — by texting the workspace's own WhatsApp number. This turns any connected number into a private control line for your team.

  1. Enable the channel. In the AI CRM screen, an admin/manager flips the WhatsApp channel toggle on. (Members without permission see the status but can't toggle it.)
  2. Register the staff mobile. The manager's own mobile number must be on their profile. Only registered manager/admin numbers are recognised as commanders.
  3. Text a request to your workspace number — e.g. “show today's revenue” or “create a deal for Acme worth 20000”. The copilot replies on WhatsApp.
  4. Confirm on WhatsApp. The same confirm-before-act rule applies — you reply yes in the chat to approve a change.
Only your staff get control. A customer messaging that same number is handled as a normal conversation (auto-reply, inbox, flows) and is never given CRM control. Copilot commands are accepted only from numbers that belong to a manager or admin in the workspace. Turn the toggle off at any time to disable text-commanding entirely.

Confirm-Before-Act & Audit

The copilot is built so it can never quietly change or send something you didn't intend:

  • Reads are instant. Looking things up, reports and summaries happen immediately — there's nothing to confirm.
  • Writes always confirm. Creating, editing, converting, sending, or recording money always shows a plain-language summary of the exact change and waits for your yes. A no, or any new instruction, cancels it.
  • Every action is logged. The Recent AI actions panel records which tool ran and a short result summary, so there's a trail of everything the copilot did on your behalf.
  • Ambiguity is surfaced, not guessed. If two records match a name, the copilot asks which one rather than picking for you.

Bring Your Own AI Key

The copilot runs on your AI provider key, so you control the model and the cost:

  • Providers. OpenAI, Anthropic (Claude) or Google Gemini. Add the key in your workspace AI settings; your platform admin may also provide a shared platform key.
  • Cost. Usage is billed by your provider against your key. Copilot conversations are short and text-only, so cost is modest, but heavy use adds up — watch it on the AI Usage Dashboard.
  • Keys are stored encrypted and used server-side only; they're never exposed to the browser.
  • No key, no copilot. If no working key is configured, the copilot tells you AI isn't set up rather than failing silently.

Limits, Tips & Troubleshooting

  • One workspace at a time. The copilot only ever acts in your current workspace. To work in another, switch to it first.
  • Be specific with money and names. Include the amount, the invoice number, or the full contact name when you can — it reduces follow-up questions.
  • “Sending too fast”. There's a light rate limit; if you fire many messages in a row, wait a moment and continue.
  • Something went wrong. If a reply says it failed, check that your AI key is valid and that the record you referenced exists, then try again. The action isn't logged unless it actually ran.
  • Start a New chat if answers seem to reference the wrong record — stale context is the usual cause.
